What is Profil Zaufany?
Profil Zaufany (Trusted Profile) is the official electronic identity authentication system provided by the Polish state.
To put it simply:
It is a digital signature that allows you to securely conduct many official procedures in Poland over the internet.
With Profil Zaufany, a person can:
- log into state portals,
- submit official applications,
- electronically sign documents,
- communicate online with state institutions.
The system is free.
What is Profil Zaufany Used For?
Profil Zaufany today is used widely not only by foreigners, but also by Polish citizens.
The most common use cases are:
- e-Urząd procedures
- ZUS procedures
- ePUAP and e-Doręczenia
- tax procedures
- health system
- official applications
- foreigners' office procedures
- procedures requiring electronic signature
It is one of the fundamental tools of Poland's digital state system.
How to Obtain Profil Zaufany?
Obtaining Profil Zaufany is usually quite fast.
The most common methods are:
1. Profil Zaufany Through a Bank
Many Polish banks offer direct verification options.
For example:
- PKO BP
- Santander
- mBank
- ING
- Pekao
- Millennium
People with online banking accounts at banks like these can usually create a Profil Zaufany within a few minutes.
2. Application Through a Verification Point
If the bank method is not possible:
- municipality (Urząd Miasta / Gmina)
- tax office
- some state offices
Identity verification can be done through these.
The application can be started online and identity verification can be completed later.
Why is Profil Zaufany So Important in the New MOS System?
As of 2026, with the new MOS (Moduł Obsługi Spraw) system in Poland, many residence applications have been transferred to the electronic platform.
In the new system:
- temporary residence (pobyt czasowy)
- permanent residence (pobyt stały)
- long-term EU residence
applications are submitted electronically.
And the critical point is:
It is not sufficient for the application to be prepared only by a consultant or representative.
The applicant must also log into the system and electronically approve the application.
For this reason, Profil Zaufany has now become mandatory for many foreigners.
Which Applications Require Profil Zaufany?
Under the new system, particularly:
- student residence
- work residence
- family reunification
- residence through a company
- graduate residence
- permanent residence
- long-term EU residence
electronic verification is of great importance in applications like these.
It has become an integral part of the application process in the new MOS system.
Is the Situation the Same for Citizenship Applications?
There is an important exception here.
At least for now, particularly in our region of Mazowieckie, citizenship applications can still be conducted through the old system.
In citizenship matters:
- INPOL system
- existing procedures
continue to be used.
For this reason, as of today, citizenship applications can in many cases still be initiated without Profil Zaufany, similar to previous practices.
However, due to ongoing digitalization, changes in this area are possible in the future.
What Problems Can Occur Without Profil Zaufany?
Not having Profil Zaufany can create for some people:
- system login issues
- inability to approve the application
- document signature problems
- processing delays
Especially in the new MOS system, it is not possible to log into the system without Profil Zaufany.
